Privacy notice

Who we are

Therapist Circle (therapistcircle.co.uk) is a free, invite-only referral network for UK therapists, founded by Dr Chia Barsen. For anything about this notice or your data, email hello@therapistcircle.co.uk.

No client data

We never ask for, and members must never post, information that could identify a client: no names, initials, dates of birth, addresses, contact details or workplaces. Referral requests use structured fields such as age band and presenting issue.

What we store, and for how long

• Requests to join: name, email, professional body, registration number, modalities, the colleagues you name and any notes. Used only to review your request. Deleted 90 days after the request has been reviewed.
• Member accounts: name, email, a securely hashed password (never stored in plain text), professional body, registration number and when it was checked. Kept while you are a member.
• Profiles: the professional details you choose to share (approaches, client groups, location, fees, bio, availability status) and vouches between members. Visible to signed-in members only.
• Referral requests and replies: deleted automatically 30 days after the request is posted, or earlier if the poster closes it.
• Private messages between members: kept for 12 months, then deleted automatically.
• In-app notifications: deleted after 90 days.
• Sign-in sessions: a single essential cookie keeps you signed in for up to 14 days. Login attempts are counted briefly to prevent password guessing.

How we use it

Only to run the circle: checking registration on public registers, contacting the colleagues you name, showing your profile to other members, and delivering referral requests, replies, messages and notifications. We don't sell or share personal information and we don't use it for marketing.

Data is stored with Cloudflare (Cloudflare Pages and D1), which hosts the site.

Cookies and tracking

We use one essential sign-in cookie for members. No advertising or analytics cookies, and no tracking.

Your rights

Under UK data protection law you can ask to see, correct or delete the personal information we hold about you, or ask us to close your account. Email hello@therapistcircle.co.uk. You can also complain to the Information Commissioner's Office (ico.org.uk).
